USAT Mid-Atlantic Regional Annual Meeting 2008                              

 DATE:  March 21/22, 2008 

Present: Vigorito-MD, Laurie Mehler-ATL, Bob Wendling -VA, Nic Jafarieh-DC, Alan Morrison-DE, Andrew Southerling-ATL, Melanie Fink-NJ, Mark Schneider-ATL , Todd Wiley-RADC, Vinnie Monseau-WV, Greg Hawkins-NC

Call to order Meeting: 7 pm Bethesda, MD

Roll Call of the States/Reps

 1. Welcome: Vigorito to

BOD for the 2008 year season 

2. Financials as submitted to USAT, last week: Vigorito 

3. Officers review, nominations and voting/selections for 2008-09

6. Regional Championships and the Program; Wendling

2008 Reg Champ review of races/selections. Regional champs due Monday March 24, 2008 for 2009 

7. RADC/Junior Program: Wiley.  13-19 ages. 

8. Officials Report: Bob Wendling; mktg idea, what’s the hook to get more officials?  if you are hurt, older in the sport, knowledgeable, love the sport…  Can Charlie Crawford start this?  Can it be subsidized by region and reimbursed by national office?   

9. Club Championships and The Program: Southerling : club grants available for
$1000, usatriathlon.org .  Program started in 2001. Capped participation to 20 to be fair for small and large clubs. 
 DC tri club won again in 2007, Not necessarily the fastest club, Criteria was effective. Could do a bonus for fastest club.
36 clubs in region. This year club champs July 27 up in NJ. Total cash $3500. Possible traveling cup trophy?
7 clubs from 4 states attended.  Goal is to make it a regional festival party, centrally located in the region.

10. Collegiate Championships: Mark Schneider presented a summary of the current Collegiate Scholarship Program…written document describing the program, awards and rules. Vigorito moved to increase the money for the top finishers from $750 to $1000 and were we pay $250 increase to $500 and go to 1,2 3. 

 Motion on the floor  is $1000- 1st m/f, $750 – 2nd m/f, $500 – 3rd m/f, $500 – random. This increases total to $5000. All accepted motion by those present. (Currently 1st m/f- $750, 2nd m/f-$250 and random $250 to another finisher USAT member on official college team.)  Todd Wiley suggested contact cycling clubs to get the word out about the college scholarship program. Vigo says to  push through Clubs to get word out about the program and promote it through the monthly newsletter. A couple of other regions have scholarship programs and is Mark willing to bring it to the next level. Alan Morrison asked if there are formal programs out there.  Mark says the biggest issue is the pure expense of triathlon to the college clubs.  He suggests to give the college clubs a 50% discount to entrance fee for races and possibly providing bike vouchers to create a wave of interest in the collegiate program. Vigo suggested Mark speak with Tim Yount in regard to this. Todd suggests it is key to have it on regional level.  Mark wants to know what the region wants to do to increase collegiate level participation.  Mark’s question “what to we want to see accomplished during the year?”  Mark says biggest Issue for college athletes is cost of race. Mel suggested we select 3 to 5 races in the region that would be willing to support collegiate teams (i.e., give discount.)  Club must be USAT registered and have enough participants.  Mark to revise description of program and put in monthly newsletter.

 11. Website review: Wendling up 3% on homepage; up 39% total hits; page views down 13%; most popular pages (calendar, du, tri pages, clubs, juniors etc. see Bob’s full report) follow up with Hauser to email the board a link for now to the newsletter so the race director’s can  email it out to their email bases.

14. Regional Magazine: ?? New Vigorito. Florida region produces booklet and sells it with sponsor ads, articles, etc mailed out to usat regional members.  

15. Regional Tri Series review and 2008 Announcements: 2007 Top 3 Awards to be distributed ASAP, Mel to provide names to Vigo. Issues with 2007 distribution of awards/certificates…..need email or addresses from USAT or race directors.  Committee has finalized the 2008 race selections and list will be sent to BOD for final approval.

18. Special Regional Events in 2008 : Bob Wendling says USAT is recommending that we go with 2 year designations for regional championships in all categories.  Bob opens it up for discussion and guidance and we need to make a decision. Greg thinks locking it in for 2 years is not good for our region because of the geographic size of our region.  Vigo thinks the key is we get a slate today for 2009. Bob says we have to do something this month in terms of selecting regional championships for two years out (2009 and 2010).  Bob says we will not have the benefit of knowing when the National Championships.  Hold off on selection of special Qualifier even though we are selecting the regional championship ahead of time.  Policy will stay the same based upon the discussion.  We will give one year awards and consider offering two years at a time.  Vig suggested we have a regional race director meeting to discuss regional championships so they understand selection process, etc.  Nic moves to designate Over the Mountain Triahtlon (May 30/31st) as the 2009 International Distance Regional Championship will the special qualifier to be determined at a later time.  Bob seconded the motion and all present accepted.   

19. The New Annual Meeting, Fall 2008 : Alan Morrison…looking at putting a big multisport expo in South philly in March timeframe and trying to find a venue that has a pool and track to offer other things to members to do while there.   He will let us know is 30-60 days if after doing the due diligence determine if it is viable in our region.

23: Miscellaneous:  Mark Schneider raised the issue of technology and setting up a website (e.g., google groups) where data regarding the region can be stored for access by the board.  Database of information such as board minutes
